Custom Teamwear Lead Times: Work Backwards From Your First Game

Order off-the-shelf Nike or Adidas kit with your crest, names and numbers about six weeks before your first game, and made-to-order adidas Locker Room kits eight to ten weeks out. Decoration is the quick part: at Empulse, most personalised orders are finished within 10 business days of final artwork approval. The weeks before that approval, spent chasing sizes, sponsor logos and committee sign-off, are where custom teamwear lead times really blow out.

So the useful question isn't how long production takes. It's when your club's admin will be finished. Here's how to plan the order backwards from kick-off, and how to keep the usual hold-ups off the critical path.

How long do custom teamwear lead times actually take?

The production clock starts when you approve the final proof, not when you first email about kit. A quote comes back within 24 hours, but the order doesn't move until every size, name, number and logo is locked. Clubs that send a complete brief in week one are wearing the kit weeks before clubs that send it in instalments.

The path you choose matters more than anything else. Here's how the three main options compare.

Ordering path What you get Production time Start planning
Off-the-shelf Nike or Adidas, personalised by Empulse Genuine jerseys, shorts, jackets and bags with your crest, sponsor, names and numbers, from one unit Around 10 business days from final artwork approval, plus delivery 6 weeks before the first game
adidas Locker Room, made to order Kit built in your club colours from a template, minimum 12 kits Around 45 days, plus shipping 8 to 10 weeks before the first game

If you're weighing up the made-to-order route, our guide to custom adidas football kits from 12 units covers the templates and what the extra weeks buy you.

A backwards timeline from your first game

Pick the date of your first trial or round one, circle it, then count back. This is the buffer we'd plan for with personalised off-the-shelf kit:

  1. Six weeks out: choose your range and colours, then send a quote request with garment types, rough quantities and your deadline.
  2. Five weeks out: send your crest and sponsor logos as vector files (AI, EPS, SVG or a vector PDF) and open size collection.
  3. Four weeks out: close sizes, lock the names and numbers list, and approve the final proof. The production clock starts here.
  4. Four to two weeks out: production, around 10 business days.
  5. Two weeks out: delivery. Check every garment against your list the day it lands.
  6. The final fortnight: buffer for the late signing, the wrong size and the misspelt surname.

For Locker Room kits, add roughly four weeks to the front of that plan so your design is locked eight to ten weeks before kick-off. Delivery times vary by location, so put your real deadline in the quote form and we'll confirm what's achievable before you commit.

Where pre-season teamwear orders actually stall

Production rarely causes the delay. These four things do, and every one of them can be sorted before you ask for a quote.

Sizes nobody sends back

A size form with no close date stays open forever. Set a hard deadline, chase twice, then order. Our guide to building a jersey size ladder shows how to collect sizes so the order isn't held hostage by three players who haven't replied. It also pays to hold a couple of unprinted spares in your two most common sizes, so a mid-season signing gets a number without a fresh order of plain stock.

Sponsor logos that arrive as a screenshot

Sponsorship usually means a business funds the club in return for things like logo placement, as the NSW Office of Sport's club funding guide explains. That logo is part of the deal, so ask for the vector file when the agreement is signed, not the week the proof is due. A pixelated JPEG pulled from a website will cost you a week while someone tracks down the original.

The goalkeeper nobody ordered for

This one catches clubs every season. Under Law 4 of the Laws of the Game, each goalkeeper must wear colours that stand out from the other players and the match officials, and undershorts or tights must match the main colour of the shorts. Order keeper kits and matching base layers in the same run as the outfield kit, or you'll be placing a second order with its own lead time.

Too many people approving the proof

Nominate one person to sign off. A proof that bounces around a group chat for a week has added a week to your delivery date, and the clock doesn't start until someone says yes.

Order jackets, shorts and bags with the jerseys, not after

Clubs tend to treat jackets and bags as a phase two. That's usually a mistake, because phase two means a second quote, a second proof and a second production slot. Put everything on one order and you approve the crest once.

Shorts are the easy add. The Adidas Entrada 26 Shorts sit at $30 and pair with the matching jersey, and our custom soccer shorts guide covers fit, fabric and where numbers go.

Jackets are the piece most people see your crest on, on the bench, at the canteen and travelling to away games. The Nike Park 26 Stadium Jacket at $160 is the full-length cover option for the bench, the sideline and the drive home. Our guide to designing a custom team jacket covers where the crest and initials work best.

Bags are their own story. The Nike Academy Duffel Bag, 60L at $55, can carry a player's name, number or initials, which ends the post-training "whose bag is this" routine for good.

Socks are the one item that never holds an order up, because there's nothing to decorate. Our grip socks range is sold as is, so add a pair per player for futsal and indoor sessions. Not sure which type your squad needs? Our grip socks vs compression socks breakdown sorts it out.

When should Australian clubs order for summer and pre-season?

Football Australia counted 1.93 million participants in 2025 across more than 3,300 community clubs, including futsal and social formats. Plenty of those clubs are working to similar pre-season dates, so leaving it late puts you in the same queue as everyone else who left it late.

For a pre-season that starts between December and February, or a summer futsal season, aim to have your proof approved before the holiday break. Committees go quiet between Christmas and Australia Day, and an order waiting on one signature can sit there for weeks. Late October and November is the comfortable window for most clubs, and it keeps your custom teamwear lead times clear of the Christmas slowdown.

Frequently asked questions

What are typical custom teamwear lead times in Australia?

At Empulse, most personalised Nike and Adidas orders are completed within 10 business days of final artwork approval, plus delivery. Made-to-order adidas Locker Room kits take around 45 days plus shipping.

When does the production clock start?

At final artwork approval. Sizes, names, numbers and logos all need to be confirmed before production begins, which is why a complete brief saves the most time.

Can socks be customised with our club logo?

No. Grip and compression socks are sold as is. Customisation is available on jerseys, shorts, jackets, backpacks and duffel bags.

What file should we send for our crest and sponsor logos?

A vector file, such as AI, EPS, SVG or a vector PDF. Vector artwork scales cleanly to any size, while a screenshot or small JPEG can blur once it's enlarged for a jersey.

Lock in your pre-season kit

Circle your first game, count back six weeks, and send us the brief. Request a team quote with your garments, quantities and deadline, and pricing comes back within 24 hours. Pricing depends on the finish and the complexity of your design. If you want kit built from scratch in your club colours, start with the adidas Locker Room page and give yourself the full ten weeks.
