Bulk Custom Gym Towels: MOQ, Lead Times and Planning the Order

Bulk custom gym towels start at 100 units, take about four weeks to produce, and then need shipping time on top. That is the short version. Your logo, club crest or business mark is applied to Empulse quick-dry microfibre towels, the order runs as a single batch, and you plan backwards from the date you actually need them in hand.

Most people learn that the hard way, about two weeks before presentation night. So here is the whole picture: what the minimum really means, why four weeks is four weeks, and how to plan an order that lands on time.

What a bulk custom gym towel order actually involves

There are three moving parts, and only one of them is the towel.

The first is the blank. Empulse gym towels are lightweight microfibre, quick-dry, 50 x 100cm, with a hanging loop, and they sit at $16.98 each in the retail gym towels collection. You pick a colourway, or a couple, and that becomes your base.

The second is the artwork. A one-colour club crest behaves very differently to a four-colour sponsor lockup with a tagline under it. Size, colour count and placement all move the price, which is why nobody can quote a branded towel off a phone call without seeing the file.

The third is the run size. At 100 units the setup cost gets spread thinly enough to make sense. Below that, the setup dominates and you are better off buying stock towels and skipping the branding.

Microfibre holds fine detail well, which is why small club crests still read clearly on it.

Why the minimum order is 100 units

Minimums exist because branding is a setup job, not a per-item job. Screens, colour matching, print files and a test run cost the same whether you are doing 40 towels or 400. Spread across 100 units, that setup becomes a small share of each towel. Spread across 30, it becomes the biggest line on the invoice.

Clubs sometimes hear "100 minimum" and assume it is out of reach. It usually is not, once you count properly. A soccer club with three senior teams and four juniors is already past 100 players before you add coaches, committee and a few for the canteen raffle. A gym with 400 members only needs a quarter of them to want one.

Two ways to get there without over-committing:

  • Pre-sell before you order. Take names and money first, then place the order for the confirmed number plus a small buffer. Clubs do this well with kit already, and the NSW Office of Sport's club funding guidance covers the fundraising side properly if you are formalising it.
  • Combine groups. One order, two logos is often possible. Seniors and juniors, or two departments in the same business, split the run and both clear the minimum together.

The four week lead time, and how to plan around it

Four weeks is production time. Shipping sits on top of that, and the exact transit depends on where the order is going and how it is sent, which gets confirmed when you get your quote.

The four weeks does not start when you email. It starts when artwork is approved and payment is settled. That gap is where most delays actually live, not in the factory.

Work backwards from your date:

When What needs to happen
Week 0 You have your date. Presentation night, season launch, member drive, expo.
Minus 1 to 2 weeks Buffer for shipping and the inevitable "can we just move the logo up a bit".
Minus 4 weeks from there Production window. Locked once artwork is approved.
Minus 1 to 2 weeks again Artwork, quantities, colour and proof sign-off. Committees are slow. Allow for it.

In practice that means a solid seven to eight weeks from first enquiry to towels in the room. For an end of season function in September, you are starting in July. The same maths applies to end of season team gifts generally, and it is the single most common reason a good idea turns into a rushed one.

A towel gets used every session. That is exactly why it works harder as a branded item than most club merch.

Who actually orders branded gym towels

Three groups, with three quite different reasons.

Sports clubs use them as a member gift or a fundraiser. A towel at a club price point sells more easily than a hoodie, and unlike a jersey it does not need sizing. No size ladder also means no leftover stock in XS and 5XL.

Gyms and studios use them two ways: retail on the front counter, or included in a membership tier. Towel policies are standard across Australian facilities for good reason. The AUSactive National Code of Practice sets facility cleanliness expectations, and shared surfaces are a genuine transmission route: Victoria's Better Health Channel notes tinea spreads through towels, clothes and floors, and that communal showers and locker rooms are typical places it moves around. A branded towel every member owns is a hygiene tool that happens to carry your logo.

Businesses use them for staff wellbeing programs, corporate gifting and event giveaways. A towel outlasts a branded drink bottle and gets seen in places a branded pen never will. If that is your angle, the piece on corporate gifting pairs well with this one.

Gym towel or beach towel: which one to brand

Both take branding, but they are not interchangeable.

Gym towel Beach towel
Best for Training, club member gifts, gym retail Summer promotions, prizes, club fundraisers
Size and feel 50 x 100cm, lightweight microfibre, quick-dry Larger, softer, more of a statement piece
Logo area Smaller, works best with a clean crest Large, suits full designs and sponsor panels
Retail from $16.98 $19.98
Use frequency Several times a week Seasonal

If the goal is repeat exposure, gym towels win because they get used year round. If the goal is a prize or a summer campaign, look at the sand-free beach towel range instead, and the summer beach towel rundown covers the colourways.

What actually slows a bulk towel order down

  • Low-resolution artwork. A logo pulled off a website will not print cleanly. Vector files, or the original artwork, save days.
  • Unconfirmed colours. "Club blue" is not a colour. A Pantone reference is.
  • Quantity drift. Changing from 100 to 150 after production has started restarts part of the process.
  • Committee sign-off. If three people need to approve the proof, get all three in the same email thread before the proof goes out.
  • Leaving colourway choice to the end. Pick early. Midnight Burn, Turquoise Drift and Crimson Core all sit in the standard range, and matching your club colours up front avoids a late scramble.

Picking the base colour early is the cheapest decision in the process, and the one most often left to last.

What it costs

Towel branding is quoted, not listed. The variables are logo size, print method, number of colours, and how many units you are running. A single-colour crest on 100 towels and a full-width four-colour design on 500 are different jobs with different economics.

Send the artwork and the quantity and you will get a real number back rather than a range. If you are pricing a wider kit refresh at the same time, the guide to custom apparel for clubs, teams and businesses covers how the rest of the range prices up, and the existing custom gym towels guide goes deeper on the product itself.

Frequently asked questions

What is the minimum order for custom gym towels?

100 units. That is the point where branding setup costs spread far enough to make the per-towel price sensible. Under 100, you are paying more for setup than for towels.

How long do bulk custom gym towels take?

About four weeks in production, plus shipping. The clock starts at artwork approval, not at first enquiry, so allow another one to two weeks before that for proofing and sign-off.

Can we order more than one colour in the same run?

Usually yes, and it is worth asking when you request your quote. Splitting a run across two colourways is common for clubs with senior and junior sides.

What artwork do you need from us?

Vector artwork where possible, or the highest-resolution original you have, plus your colour references. Supplying good files at the start is the single biggest thing you control in the timeline.

Do you brand anything else in the same order?

Yes. Jerseys, jackets, shorts, backpacks and duffel bags all take names, numbers and logos, so clubs often bundle towels into a wider kit order rather than running them separately.
